Freight paperwork agent · 3–100 trucks

You delivered Monday. Why does the money arrive in October?

PODFlow turns a driver's photo at the dock into a complete, error-checked invoice packet in one hour — and politely chases it until it's paid. DSO under 20 days, without hiring anyone.

First 25 loads free. No card. Built for the one-person back office.

The actual job

You're a trucking company that moonlights as a paper-chasing agency.

01

The POD is in a cab somewhere in Ohio

Delivery happened Tuesday. Accounting finds out Friday. The picture lives in a driver's camera roll, a WhatsApp chat, or a crumpled visor.

02

Broker kicked the invoice back

Missing lumper receipt. No consignee signature. Pieces don't match the BOL. Now it's a two-week argument instead of a receivable.

03

One person. Fifty loads. A stapler.

Your back office is often a spouse at the kitchen table. Factoring takes a cut because the packet isn't ready. DSO is the #1 killer of small fleets.

Snap & done

One photo. The load files itself.

The driver shoots the POD/BOL while still at the dock. We read handwriting, match the load number, pull the rate confirmation, and file every page against that load. No portal. No “email it to accounting when you get a chance.”

  • Handwriting included
  • Load-number match
  • Cab-to-cloud in seconds

Dock-side error catch

Flag it while they're still standing there.

Missing consignee signature. Damage note with no photo. Piece count off by two. PODFlow pings the driver before they pull off the property. A 20-second reshoot beats a 14-day short-pay.

The invoice dossier

Each broker gets the packet they actually pay on.

Rate confirmation + POD + BOL + lumper receipts, assembled to that broker's rules, emailed automatically. No more “we never got the lumper.” The file that leaves your office is the file that gets paid.

  • Per-broker checklists
  • Auto-email on complete
  • Audit trail on every page

Collections on autopilot

Polite. Persistent. Packets attached.

Aging tracker. Escalating reminders that still sound like a human. Factoring-ready export when you need cash this week. Margin-by-lane so you stop hauling the pretty freight that doesn't pay.

Cash-flow math

What 18 days faster actually buys a 20-truck fleet.

Working capital stuck in unpaid invoices is a loan you didn't mean to give the broker. Move DSO and the money comes home.

Boring on purpose.

Half a billion dollars went into driverless trucks that never invoiced a customer. We started with the invoice.

FAQ

Straight answers.

Do drivers need a new phone or a special scanner?

No. The camera they already have. If they can text a picture of a POD, they can use PODFlow.

What if the handwriting is terrible?

We still extract load number, pieces, and whether a signature exists. Low-confidence fields get flagged for a 10-second human confirm — usually the same person who was going to type it anyway.

Will you submit anything without us looking?

No. Sensitive sends wait on a person. The default is: assemble the packet, show the gaps, you tap send. Autopilot collections only after an invoice has actually gone out.

We're already on a TMS.

Keep it. PODFlow sits on the paperwork side: photo → packet → chase. We push status back. We do not try to become your dispatch board.

How is this not another AI company that disappears?

We charge per truck, from the first fleet. No robot trucks, no factory, no FDA, no “platform” story. If the invoices stop going out, you stop paying. That's the product.

Run this week's loads through PODFlow free.

Twenty-five loads. Your real PODs. Your brokers. If the packet isn't cleaner, you owe us nothing and we don't email you again.
